Watling Medical Centre aims to provide you with the highest quality health care. To do this we must keep records about you, your health and the care we have provided or plan to provide to you.

What information do we collect?

Personal Data (name, address, date of birth, NHS Number and next of kin) as well as

Sensitive Personal Data (appointment details, notes and reports about your health, details and records about your treatment and care, results of x-rays, laboratory tests etc)

Healthcare providers are permitted to collect, store, use and share this information under Data Protection Legislation which has a specific section related to healthcare information.

What do we do with your information?

· Refer you to other healthcare providers when you need other services or tests

· Share samples with laboratories for testing (like blood or cytology samples)

· Share test results with hospitals or community services (like blood tests)

· Allow out of hours services to look at your practice record when you go to an appointment

· Send prescriptions to a pharmacy (with your approval)

· Send text messages (appointment reminders or health services’ offer e.g. flu vaccines)

· Samples are provided to the courier for delivery to pathology

· Share reports with the coroner

· Receive reports of appointments you have attended elsewhere such as with the community nurse or if your have had a stay in hospital

· As part of clinical research - information that identifies you will be removed, unless you have consented to being identified

· Doing clinical audits

Supporting staff training and medical students’ training

Sharing when Required by Law

Sometimes we will be required to share your information and will not always be able to discuss this with you directly for prevention of crime or in public interst)

Information Access and Rights/Corrections/Complaints

Data protection law provides you with a number of rights that the practice must support you with.

You have a right to request a copy of information held about you - for information from the hospital you should write direct to them. Request should be in writing. We will respond to your request within 30 days of receipt. We are required to validate your identity if someone making a request on your behalf

If information about you is incorrect, you are entitled to request that we correct it. There may be occasions, where we are required by law to maintain the original information.

You also have the right to make complaints and request investigations into the way your information is used. Please

contact our Data Protection Officer/Practice Manager at the above address. If you are still unhappy following a review by the GP practice, you can then complain to the Information Commissioners Office (ICO) via their website (www.ico.gov.uk ).

How do we protect your Information and maintain confidentiality?

Every member of staff who works for an NHS organisation has a legal obligation to keep information about you confidential. 

We are committed to ensuring the security and confidentiality of your information. There are a number of ways in which we do this:

· Staff receive annual training about protecting and using personal data

· Policies are in place for staff to follow and are regularly review

· We check that only minimum amount of data is shared or accessed

· We use 'smartcards'  and passwords to access systems; this helps ensure that the right people are accessing data - people with a 'need to know'

· We use encrypted emails and storage which would make it difficult for someone to 'intercept' your information

· We report and manage incidents to make sure we learn from them and improve

We put in place contracts that require providers and suppliers to protect your data as well

What next?

If you are happy for your data to be extracted and used for the purposes described in this privacy notice then you do not need to do anything.  If you have any concerns about how your data is shared then please contact the practice.

Change of Details

It is important that you tell us  if any of your details such as your name or address have changed or if any of your details such as date of birth is incorrect in order for this to be amended. You have a responsibility to inform us of any changes so our records are accurate and up to date.

EMIS Patient Access Update

The on-Line Access tool that patients use to access their record and order repeat prescriptions was updated last week and not without problems. This has resulted in patients  having difficulty accessing the service, receiving  text messages to submit  personal data and advising them to contact their practice. We would like to share the attached guide, which provides information to  highlight the improved online service along with some useful links and FAQ’s for Patients to help manage the issues they may be experiencing. CQC - Statement of Purpose

Under the Health and Social Care Act 2008 every registered provider must have a Statement of Purpose. 

A Statement of Purpose is a document which includes a standard required set of information about a service.  The Statement describes:

  • The Provider's aims and objectives in providing the service
  • The kinds of service provided
  • The health or care needs the service sets out to meet
  • The locations where the services are actually provided or provided from
  • Details from the provider including their legal status, and any manager, including the 'address for service' for all registered persons.

Watling Medical Centre was visited by CQC inspectors in July 2016. It was an interesting and a worthwhile experience and we are very pleased to say the that the Practice was rated Good overall. You can find the full report here

Telephone Calls

You have told us that you sometimes find it difficult to get through in the mornings or to get an appointment, so we have made changes to the way we answer calls. We take all calls at our Burnt Oak surgery and moved the calls away from the front desk to improve confidentiality.

The number you dial will remain the same for each branch of the Watling Medical Centre ( Burnt Oak and Stanmore). Some of the staff that you speak to may be new to you, but they are all regular staff members from The Watling Medical Centre.

Please help us to help you by stating clearly the branch of the surgery ( Burnt Oak or Stanmore)  at which you are registered and confirm the location of your appointment ( Burnt Oak or Stanmore ) at the end of the call.

We will do our best to ensure that the transition to handling telephone calls from one branch is as smooth as possible and ask for your patience.
